Make the requirement measurable
State the function of the product or equipment, the relevant standards, dimensions, materials and acceptable tolerances. Give an actual required quantity and location. If you are replacing existing machinery, identify the interface and power requirements that must match.
Distinguish an initial information request from a purchase order. A useful enquiry asks for a technical specification, lead time, minimum order quantity, packing method and the basis of the quoted price. Do not treat a brief marketing description as a complete contract.
Check the supplier and supporting records
Establish the supplier’s legal identity, the party authorised to sign and whether it manufactures, resells or brokers the offered item. Ask which documents demonstrate the specifications relevant to your own use. A logo or a claim of certification must be tied to a genuine issuing body, scope and validity.
For equipment, discuss an inspection or demonstration, acceptance criteria, installation and the availability of parts and service. For a repeat supply, define the approved sample and what happens when a shipment does not match it. The particular jurisdiction and contract determine the rights involved.
Keep delivery terms and cost questions explicit
Record the named delivery location and the actual commercial terms supplied by the parties. Determine who handles transport, insurance, export and import formalities. A quoted unit price can exclude costs that materially change the delivered amount.
Payment timing, currency, bank details and any inspection milestones need separate verification. A platform enquiry does not itself create escrow, trade-credit cover or customs clearance. Ask how the agreed transaction will be documented and how the parties would handle a dispute.
